Note that hosting a meeting and sharing your screen, for example to present a slide deck, are not the same thing. You do not have to be the meeting host to share your screen.
Sharing Your Screen When Joined to the Meeting with your Laptop
- Once the meeting has started, hovering over the bottom of the WebEx window will reveal the WebEx control icons.
- Click the Share Screen icon to share your screen.
The system will ask you which screen you want to share. The choices will include each physical screen you have connected to your laptop and each application you have currently running.
If you choose one of your physical screens, be aware that any pop-ups or notifications or other items that appear on that screen will be visible to all meeting attendees.
If you choose the specific application you want to share, anything else that appears in front of that screen while you are presenting shows up as a grayed-out box to the meeting attendees, preserving your privacy.
- Double-click the screen you want to share.
The main WebEx window and all the controls will disappear, replaced by a control bar that hovers on the top of the screen and goes away when inactive. You can make the control bar re-appear by hovering your mouse at the top center of the screen. The control bar contains all the main WebEx meeting controls.
To Stop Sharing Your Screen from Your Laptop
To stop sharing, hover at the top center of the screen to reveal the control bar, then click the Stop Sharing button. The main WebEx window and all the regular controls will reappear.
Sharing Your Screen When Using a Conference Room
Warning: DO NOT join the meeting from your laptop if you are the host and you are in a conference room.
If you wish to share your screen and you are the host, you must follow these instructions.
If you wish to share your screen and you are not the host, you can follow these instructions or you can follow the instructions in the section titled Sharing Your Screen When Joined to the Meeting with your Laptop above.
You do not have to be the meeting host to share your screen.
If the conference room has a hard-wire video cable
- Plug the hardwire video cable into your laptop.
- On the Cisco control pad, press the Share button.
- On the screen that appears, press the green Share In Call button under PC 1 or PC 2.
This will share your screen with all attendees.
If the conference room does not have a hard-wire video cable
You can also use these instructions if the hard-wire cable instructions do not work.
- From the Cisco Webex Meetings application on your laptop, click the link in blue letters at the bottom that lists your conference room name.
- In the window that appears, click the blue Share On Device button.
- If the screen does not automatically share, on the Cisco control pad, press the Share button.
- On the screen that appears, note the code that appears under Wireless Screen Sharing. Enter this code if prompted from your computer.
This will share your screen with all attendees.
To Stop Sharing Your Screen in a Conference Room
From the Cisco Control Pad, press the red Stop Sharing button under either PC or Wireless Screen Sharing.
